Advisorbriefs, Inc. ("Advisorbriefs," "we," "our," or "us") operates a meeting transcription and documentation platform for registered investment advisors. This Privacy Policy describes how we collect, use, and protect information when you use our website and services.

1. Information We Collect

Account and Contact Information

When you register for or inquire about our services, we collect your name, email address, firm name, and contact details. We use this information to provide the service, communicate about your account, and respond to inquiries.

Meeting Audio and Transcription Data

Our core service processes meeting recordings submitted by advisors. This may include audio recordings, uploaded files, or transcripts of advisor-client meetings. This data is processed solely to generate meeting summaries, action item lists, follow-up email drafts, and CRM notes as requested by the advisor. We do not use meeting content to train models without explicit written consent from the advisor and their firm.

CRM Integration Data

When you authorize a CRM integration (such as Redtail, Wealthbox, or Salesforce FSC), we receive access to the CRM fields necessary to format and push meeting notes. This access is scoped to the minimum required to execute the approved integration function. We do not store CRM data beyond the time needed to complete the push operation.

Usage and Technical Data

We collect standard web analytics including page views, browser type, IP address, and session data to operate and improve the service. We use cookies as described in our Cookie Policy.

2. How We Use Information

  • To provide the meeting documentation and CRM integration services you have requested
  • To communicate about your account, demo requests, and support matters
  • To improve and maintain the platform
  • To comply with applicable legal obligations

We do not sell personal information to third parties. We do not use meeting recordings or transcripts for advertising purposes.

3. Data Security and Retention

Meeting recordings and transcripts are encrypted in transit and at rest. Access to meeting data is restricted to the advisor account that submitted it. We retain meeting records for as long as the advisor account is active, plus any retention period required by applicable financial regulations, after which records are deleted upon request or on a schedule defined in your service agreement.

4. Financial Advisor Obligations

Registered investment advisors using Advisorbriefs remain responsible for their own compliance with applicable securities laws, including obligations around recordkeeping under SEC Rule 17a-4 and FINRA requirements. Advisorbriefs provides tools to assist with documentation but does not provide legal or compliance advice.

5. Third-Party Services

We use third-party infrastructure providers for hosting, storage, and processing. These providers are bound by data processing agreements consistent with applicable data protection law. We do not share meeting content with third parties except as required to operate the service or as required by law.

6. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting us at [email protected]. Requests are processed within 30 days.

7. Changes to This Policy

We will notify registered users of material changes to this policy by email at least 30 days before they take effect.
